The Regional Competence Center of the Omsk Region trains employees of companies participating in the federal Labor Productivity project in lean manufacturing tools. The RCC experts have dozens of techniques in their arsenal to improve the efficiency of enterprises. One of them is the 5S system, a basic tool that helps to bring order to workplaces at no additional cost.
During the trainings, RCC experts discuss the five steps of this system with the participants of the fedproject.
1. Sorting. A thorough analysis of tools, materials, and equipment at the workplace. All items are sorted by frequency of use, and unnecessary items are removed. This step reduces the number of distractions by removing everything unnecessary.
Example: programs and files can be sorted on a work computer. It makes sense to place the most popular ones on the desktop and on the quick launch toolbar, put the less popular ones into folders, and delete or archive the unused ones.
2. Maintaining order. Create a clear storage and labeling system for all tools and materials. The organization of the storage is designed so that any item can be easily found and used.
Example: a logical folder structure is being formed for storing files. Shortcuts on the desktop and on the quick launch toolbar are grouped by category. Hotkeys are configured for the most popular programs.
3. Keeping it clean. Maintaining order in the workplace, checking and preventive maintenance of equipment. This stage helps to prevent the return of the disorder eliminated in the previous stages.
Example: In the Task Scheduler, you can set up recurring reminders to keep your downloads, emails, and desktop in order.
4. Standardization. Create clear work algorithms, regulations, instructions, and checklists. Standardization helps to keep the 5C system in working order and prevents a return to the previous mess.
Example: algorithms for processing new files are being developed, and the corresponding tasks are added to the scheduler.
5. Improvement. Regular analysis of the workplace organization system, identification of problems and bottlenecks. It is important not to stop there, but to constantly look for ways to make the workspace even more convenient and efficient.
Example: the analysis of current projects allows you to adapt the 5C system for them. The folder and file structure is reviewed and optimized, if necessary.
